1. Who we are

Controller: Pool Lead Flow. Contact: privacy@poolleadflow.com. For homeowner chats, the builder whose site you visited is the controller for the conversation and lead data, we act as their service provider.

2. What we collect on this marketing site

• Contact details you submit — name, company, email, phone, and monthly revenue range from the Book a Demo form.
• Technical data — IP-derived city/region, device/browser, and pages viewed. We store a temporary request ID in localStorage (pool-lead-flow-demo-requests) so we can show a confirmation if you return. No third-party advertising cookies.

3. What Ava collects on builder sites

• Conversation content — messages you type in the chat.
• Qualification details you provide — project type, budget, timeline, full name, phone, location.
• Technical — random visitor/session IDs stored in localStorage/sessionStorage to continue a conversation, and the page title/path where Ava was opened. No third-party ad cookies.

Ava is AI — it is automated software, not a human, and a builder’s team member may take over at any time. Where Ava appears, the chat is labeled as AI.

4. How we use it

• Respond to demo requests, qualify your company, and schedule a demo of Pool Lead Flow.
• On builder sites: answer homeowner questions, qualify the project, and create a callback request (NEEDS CALL / CALL AT OPEN / SCHEDULED) that alerts the builder.
• Improve reply quality and abuse prevention. We do not use builder conversations to train third-party models.

5. Sharing

Demo requests are delivered via Netlify Forms and, if configured, to our internal lead endpoint (PLF_API_URL). Homeowner lead data is shared only with the builder whose site generated it. AI replies are generated through OpenRouter and its model providers, Resend for email alerts where enabled. All process data on our behalf under their published subprocessors.

6. Retention

• Marketing demo requests: kept until your evaluation is complete, then archived or deleted on request. Local device copies persist until you clear storage.
• Builder conversations: retained by the builder’s account and auto-deleted after 180 days of inactivity unless the builder exports or you request earlier deletion.

7. Your rights

Depending on where you live (US state laws including California, Colorado, Virginia, and GDPR if you are in the EEA/UK), you may request access, correction, deletion, or to opt out of future contact. To exercise rights, email privacy@poolleadflow.com with the email or phone you used. We will not discriminate against you for exercising rights. To stop sales calls/texts, reply STOP or email us.

8. Security and location

Data is stored in the US and may be processed in the US. We use access-controlled storage and encrypted transit. No system is perfectly secure, do not send payment or sensitive government ID through the chat.

9. Children

Ava and this site are not directed to children, we do not knowingly collect from under 16.
